We’re well aware that many Scouting events, including jamborees, gang shows, fetes and family days, involve considerable financial outlay. Some of your outgoings might be recoverable if the event doesn’t go ahead, but much of it would not.

 

Our Scout Event Cancellation and Abandonment policy

What’s covered?

Reimbursement for the loss of expenses resulting from the cancellation or abandonment of Scouting event(s). The cancellation or abandonment must be beyond your control, such as severe weather.
 
Expenses that can be covered include:

  • Payments for publicity and advertising
  • Hire of marquees and other equipment
  • Purchase of perishable goods such as foodstuffs
  • Venue hire
  • Printing costs for tickets

 
Reasons for the cancellation or abandonment could be:

  • Event site being unavailable
  • Severe weather
  • Strikes and industrial action
  • Fire

 
For Cancellation and Abandonment, the cover must be requested at least 14 days before the beginning of the event.

Free Insurance for events and equipment

If your Scout Group is covered under our annual Scout Property and Equipment Insurance policy, underwritten by Lloyd’s Syndicate Number 609 managed by Atrium Underwriters, you can get short period cover for events and equipment free of charge*.

*Subject to Scout Property and Equipment Small Event Insurance Endorsement terms, clauses, conditions, exclusions and warranties.

Then enter your annual Scout Property and Equipment policy number, (shown on your annual schedule of cover); and answer a few straightforward questions about your event and/or the equipment to be insured.

Other insurance cover you may need to consider for your Scout events

Equipment you own, hire or borrow

We can arrange all risks insurance for equipment you own that you use at your events.

You may need short period equipment insurance cover for equipment you borrow or hire for your event, such as marquees, sound and stage equipment.  You should check with the owner whether their insurance covers the item while you’re using it or responsible for its use.  Otherwise a claim may not be paid for physical loss or damage to equipment you hire or borrow for the event.

Money

Many Scout events are held to raise much needed funds. This may be through donations in collecting tins or alternatively the sale of goods. 
We can arrange insurance cover for your cash at events, whether its takings or the float at a stall or money in collection buckets. 

Motor vehicles you hire or borrow

By law, you must have motor insurance for vehicles you own.

For your Scout event may need to hire in specialist vehicles, such as tractors and trailers for transporting equipment, rubbish or water.  You may also have to hire vans or minibuses to help transport equipment, goods or people.  You will need insurance for these vehicles too.

Are we covered if our event is cancelled due to Covid?

No, our Scout event cancellation and abandonment policy does not cover cancellation due to Covid, whether due to lockdown restrictions or organisators needing to self-isolate.
